What to Do If You Experience Repetition in Your Transcript

If your transcript includes repetitive text, it’s almost always caused by audio quality issues rather than a problem with DigitalTCO itself. The transcription system is incredibly accurate, but certain hardware or recording conditions can interfere with its performance. Here’s how to troubleshoot and resolve these issues.

Repetition typically occurs when:

  • The microphone picks up background noise or rustling sounds.
  • There are silent gaps or random noises during the recording.
  • The microphone is improperly positioned, affecting clarity.

Steps to Avoid Repetition in Transcripts

  1. Avoid Tapping the Microphone
    • Tapping the mic to test it can confuse the AI.
    • Instead, press record and start speaking immediately, e.g., “Patient examination today….”
    • This ensures the AI has clear speech to process from the start.
  2. Check for Audio Issues
    • Rustling Sounds: Ensure there’s minimal background noise and avoid movement that might create rustling.
    • Silent Gaps: The AI trims silent gaps but keeps random noises, which can lead to repetition.
    • Mic Placement: Clip the microphone securely to your top pocket, not your neck or other unstable areas.
  3. Use Exam Notes with Audio Saving Enabled
    • Go to Exam Notes and enable the Save Audio toggle.
    • Record your notes as usual without a template.
    • If issues arise, use the Check Audio Quality button at the bottom of the page to listen back and identify any audio problems.
  4. Recovering Notes
    • If you encounter issues, let us know the time of the appointment, and we can recover the audio (if you used Save Audio in Exam Notes).
    • If the audio sounds fine after review, you can delete it via the Notes List (you’ll be prompted twice to confirm).
  5. Pause When There’s Downtime
    • During longer appointments, pause and resume recording when necessary to avoid capturing unnecessary noise or silent gaps.
    • This can significantly reduce the likelihood of repetition.

Mic Troubleshooting Tips

  • Secure Placement: Keep the microphone close to your voice source for clear audio input.
  • Start Speaking Immediately: Begin speaking as soon as you press record.
  • Minimize Background Noise: Ensure your environment is as quiet as possible.
